AI automation that takes work off your team

We find the repetitive, rules-heavy work your people do every week, automate it with AI agents and workflow tools, and keep the automations running as a managed service.

AI automation agency

Business process automation with AI agents that act, not just answer

Every business carries the same hidden cost: skilled people spending hours a week copying data between systems, triaging inboxes, chasing approvals, reconciling invoices and writing the same updates. Traditional automation handled the steps that never vary. AI agents can now handle the ones that do: reading an email, understanding a document, deciding which system it belongs in, and taking the next step.

Orbit3 designs and builds those automations around your existing tools, with a person approving anything that matters. We start with the workflow that will pay back fastest, measure the hours it saves, and then run it alongside our AI consulting and implementation work, so it keeps working when your systems, staff or volumes change.

  • Workflow discoveryWe map the process as it really runs today and put a number on the hours it costs.
  • AI agents with guardrailsAgents that read, decide and act across your systems, with approval steps where the stakes require them.
  • Built on your toolsMicrosoft 365, Google Workspace, HubSpot, Salesforce, Xero, Zendesk, Slack and your own APIs.
  • Measured paybackHours saved, error rates and cost per run tracked from the first week.
  • Run as a managed serviceMonitoring, fixes and improvements handled after launch, not left to whoever built it.

Who it's for

For teams buried in work a machine could do

The best automation candidates are unglamorous: high volume, repetitive, rules-heavy, and currently done by someone who would rather be doing something else.

Inbox- and document-heavy operations

Orders, enquiries, invoices, applications and forms arrive by email or PDF and get keyed into another system by hand. An agent can read, extract, check and file them.

Sales and service teams doing admin

CRM updates, call notes, follow-ups and ticket triage eat into time that should go to customers. Automation keeps the records current without the typing.

Finance and reporting workloads

Reconciliations, approvals, month-end packs and recurring reports that follow the same steps every time, with the same mistakes when people are rushed.

What's included

Everything it takes to automate a workflow properly

An automation is only useful if it keeps running when the inputs get messy. Every engagement covers the build, the guardrails and the operation afterwards.

  • Process discovery and costingTime with the people who do the work, every step mapped, and the hours and error cost estimated, so we automate what pays back first.
  • Automation designWhich steps fixed rules handle, which need an AI model and where a person approves, written down before anything is built.
  • AI agentsAgents that read emails and documents, classify and extract what matters, call your systems' APIs and hand off to a person when unsure.
  • Document processingInvoices, purchase orders, contracts and forms turned into structured data, checked against your rules and posted to the right system.
  • IntegrationsConnections to Microsoft 365, Google Workspace, CRMs, accounting, helpdesk and messaging tools through official APIs and least-privilege access.
  • Low-code or custom, whichever fitsn8n, Power Automate, Make or Zapier for simple flows; custom code in your own cloud account for anything that needs more control, scale or security.
  • Human-in-the-loop controlsApproval queues, confidence thresholds and audit logs, so nothing irreversible happens without the right person seeing it.
  • Monitoring and error handlingEvery run logged, failures alerted and retried, and a regular view of volumes, hours saved and exceptions.
  • Ongoing improvementNew edge cases handled, prompts and rules tuned, and the next workflow added once the first is paying for itself.
How we deliver it

Find, automate, run

We start small and measurable: one workflow, real examples, a person checking the output, then wider rollout once the numbers hold.

Find

A free call and a short discovery to pick the workflow with the clearest payback. You get the process map and the hours it costs whether or not you continue.

Automate

We build against real examples from your business, test alongside the people who do the work today, and switch the automation on in stages.

Run

We monitor every run, handle the exceptions and improve the automation as your volumes and systems change, then help you pick the next workflow.

Platforms

AWS, Azure and Google Cloud

We build on the platform you already use where possible, so your data stays in your accounts and the automation sits inside your existing security controls.

Amazon Web Services

Amazon Bedrock models and agents, Lambda and Step Functions for orchestration, Textract for document extraction, and EventBridge to react to events across your systems.

Microsoft Azure

Azure OpenAI Service, Power Automate and Logic Apps, Azure AI Document Intelligence, and Microsoft Graph for Outlook, Teams and SharePoint, governed by Entra ID.

Google Cloud

Gemini on Vertex AI, Document AI, Cloud Run and Workflows for orchestration, and the Google Workspace APIs for Gmail, Drive and Sheets.

Questions we get asked

Frequently asked questions

What is an AI automation agency?

A team that builds automations using AI models alongside traditional workflow tools, so processes that need judgement, such as reading an email or a document, can be automated rather than just the fixed steps. Orbit3 builds those automations and then runs them for you as a managed service.

What kinds of processes can be automated?

Anything high-volume and repetitive with clear rules for what good looks like: email and enquiry triage, invoice and document processing, CRM and helpdesk updates, approvals, onboarding steps, report generation and data entry between systems. Work that needs genuine judgement on every case is a poor first candidate.

What is the difference between an AI agent and normal automation?

Normal automation follows fixed rules: if this field says X, do Y. An AI agent can interpret unstructured input such as an email, a PDF or a conversation, decide which steps to take and call the tools to take them. The most reliable automations combine both: fixed rules for what is predictable and AI for what is not.

Will the automation make mistakes?

Occasionally, as people do. We design for it: confidence thresholds that send uncertain cases to a person, validation against your business rules, approval before anything irreversible, and a log of every decision so mistakes are caught and corrected.

Do you use tools like n8n, Make or Zapier?

Yes, where they fit. Low-code tools are quick and inexpensive for simple flows. For workflows that handle sensitive data, run at volume or need custom logic, we build in your own cloud account so you keep control of the data and the cost.

How quickly will we see a return?

We choose the first workflow on payback, so most clients see hours saved within weeks of go-live. Discovery puts a number on the expected saving before you commit to the build.
